Autopilot watches QuickBooks for Planning Center deposits. When one appears, it finds the exact donations that produced it — the match has to sum to the deposit to the penny — and posts the deposit-matched entry. Anything it can't prove gets flagged with diagnostics and, in most cases, the fix already worked out — a proposed match or a leftover amount to book, one click either way. Never a tolerance, never a best guess: exact match or it asks.

Prefer your books ahead of the bank? Daily summary mode posts gift-dated, fund-split entries to the clearing account each day. It's automatic, but not one-to-one with deposits — a timing choice, and you can pick per church. Every mode is included; switch anytime, and it never double-posts.

Your bank feed shows a $9,720.00 deposit from Planning Center. Behind it: $10,000 in gifts across three funds and $280 in processing fees. This is the entry that posts against that deposit — fees allocated to each fund, the clearing line equal to the deposit exactly:

The $9,720.00 clearing line is the deposit on your bank statement — that's the match. If an entry doesn't balance or a deposit can't be explained exactly, it is flagged for review — never "plugged."

Month-end close in minutes: the Reconciliation Report

One page, every Planning Center deposit for the month. It's the report you'd otherwise build by hand — except it's already done.

  • Matched deposits are green-checked and linked straight to their QuickBooks entries.
  • Outstanding deposits are highlighted with diagnostics that say exactly what's unexplained and how to resolve it.

The bank statement is the ground truth; the books should explain it. So we post clean, balanced entries that map one-to-one to your deposits — never 400 donor records a week cluttering QuickBooks. Your donor data stays in Planning Center, where it belongs: entries reference donation IDs, never names or emails. And when something can't be explained exactly, the product asks you instead of guessing.

Every uploaded payout file is verified against your organization before anything is parsed. A firm juggling twenty churches can't post church A's payout into church B's books.

Duplicate-proof

Re-upload the same payout as many times as you like — nothing ever posts twice. Retries, timeouts, and nervous second clicks are all safe.

Split gifts, allocated exactly

A gift split across three funds is joined to its Planning Center donation ID and allocated exactly — not prorated, not approximated.

Append-only audit trail

Every entry links back to its payout and donation IDs, and every action — post, approval, flag, mapping change — is logged permanently. Nothing is ever edited in place.

Frequently asked questions

Will the entries match our bank deposits?

Yes — that is the whole product. Each entry is built from a specific bank deposit, so its net equals that deposit to the penny by construction. Autopilot detects deposits in QuickBooks and matches them to their exact donations automatically. Matching in the bank feed becomes a confirmation, not a hunt.

What happens when a deposit can't be matched?

It gets flagged — never guessed at. And in most cases the flag arrives with the fix already worked out: if gifts settled out of order, we show you the exact set that sums to the deposit and you confirm it with one click; if the deposit includes registration income, we show the leftover amount with the evidence and you book it with one click. Every proposed fix states plainly what's exact and what's inferred, and it always waits for your approval. No exports, no spreadsheets. Wrong entries never appear in your books silently; the worst case is a question waiting for you, usually with its own answer attached.

Can we switch mid-year without making a mess?

Yes — switching is a guided step, not a leap. You pick the date your books start with us; everything before it stays exactly as you have it. Gifts already given but not yet deposited when you activate are listed at setup, and we ask one plain question: have these already been entered by hand? If so, their deposits are marked "covered by your existing entries" — reconciled, green in the report, and never double-booked. From your start date forward, every deposit gets exactly one entry from us. That's the contract.

Do you store our donors' names or individual gifts?

Donor names and emails are never stored and never posted — by construction, not policy. Deposit matching works on Planning Center donation IDs and amounts, so entries can be penny-exact and fully traceable without a single name in our database or your books. Our deposits include registration payments too. Will they still tie out?

Yes. Registrations and other non-giving income in a payout are booked as summary lines from the payout report, so a mixed deposit still ties out to the penny — giving by fund, everything else labeled and accounted for in the same entry.

Does it post in real time?

It posts when the money is real. Autopilot posts each entry when its deposit appears in QuickBooks — so the books match the bank by construction, occasionally a day behind it. If you want the books ahead of the bank instead, daily summary mode posts gift-dated entries each day. It's a timing choice, and the Reconciliation Report ties either one out at month-end.

What happens when someone adds a new fund in Planning Center?

It's never guessed. Gifts to a fund you haven't mapped post to your designated fallback account, and the new fund is flagged for you in the app — map it once, and every future gift flows to the right income account. Nothing silently lands somewhere wrong.

We have multiple campuses and use QuickBooks Classes. Supported?

Yes. Giving is tracked per fund and per campus, and each campus can map to a QuickBooks Class or Location — so entries split the way multi-campus books actually need, not just by fund.

Why doesn't Planning Center do this itself?

Honestly: because it's a different job. Planning Center is excellent donor-and-giving software, and accounting integration is a deep, ongoing specialty — fund accounting conventions, fee allocation, deposit matching, duplicate handling, QuickBooks API quirks. Planning Center provides exports and guidance for bookkeepers and leaves the accounting connection to focused tools like this one. We build on their public API and payout data, the same way other integrations in their ecosystem do.

Can we backfill history?

Yes — ask us during onboarding. We can bring in past months so your year is consistent from your start date back, and every backfilled entry goes through the same approval queue and duplicate guards as everything else. Nothing ever posts twice.

What happens if we cancel?

You can disconnect at any time from either side. We revoke our access to both Planning Center and QuickBooks and purge your credentials and cached data. Everything already posted stays in your QuickBooks — they're your books.
